Job Description

We are hiring an Operations & Marketing Executive Assistant for a vacation rental and executive services company in the real estate and professional services industry. This is a full-time remote role for a U.S-based company. Ideal for someone who is highly organized, proactive, execution-focused, and comfortable working closely with a fast-paced founder to manage day-to-day operations, marketing execution, and business priorities.

Key Responsibilities:

  • Manage and execute day-to-day administrative and operational tasks directly with the founder

  • Schedule and publish social media content using pre-built templates and tools

  • Coordinate content across platforms (posts, newsletters, lead magnets, articles)

  • Maintain and track weekly KPIs, ensuring updates are sent and followed up on

  • Manage and update nurture lists, including coordinating outreach and follow-ups

  • Assist with publishing materials (e.g., books, lead magnets) on platforms like Amazon

  • Coordinate with internal team members (e.g., marketing, editors, operations) to ensure alignment and execution

  • Organize, prioritize, and manage the founder’s task list and workflow

  • Conduct research and compile documents to support decision-making and projects

  • Prompt team members on deliverables and ensure deadlines are met

  • Assist with outreach coordination and basic business development support as campaigns scale

  • Align marketing materials with brand updates and website developments

  • Support content planning by organizing ideas, templates, and posting schedules

(This role is execution-focused rather than strategy-driven, with an emphasis on getting tasks done efficiently and accurately.)

Required Qualifications:

  • 3+ years experience in an Executive Assistant, Operations Assistant, or similar role

  • 3+ Experience supporting a founder or senior executive in a fast-paced environment

  • Strong organizational and task management skills

  • Comfortable executing marketing-related tasks (social media, content coordination, etc.)

  • Ability to manage multiple priorities and work independently

  • Strong written and verbal communication skills

  • High attention to detail and follow-through

Preferred Qualifications:

  • 2 + Experience in social media management and content scheduling tools (e.g., Buffer)

  • Exposure to digital marketing, newsletters, and content workflows

  • Experience with outreach or pipeline coordination

  • Familiarity with AI tools or automation in marketing workflows

  • Basic understanding of branding and visual consistency

  • Experience working with remote teams

Required Skills & Tools:

  • Social media scheduling tools (e.g., Buffer or similar)

  • Google Workspace (Docs, Sheets, Drive)

  • Project/task management tools

  • Basic AI tools for content execution (prompt-based workflows)

  • CRM or outreach tools (nice to have)

  • Content publishing platforms (e.g., Amazon KDP – nice to have)

Schedule & Pay:

  • Full-Time position; 40 hours per week - 9:00am - 5:00pm in the EST (Eastern Standard Time) time zone.

  • This is a fully remote job for a US based company.

  • Pay ranges from R16,000 - R22,000 per month, depending on experience and skill.

  • Annual raises, bonuses, and confirmed holidays/PTO.

  • Internet speed of at least 25 Mbps

  • Computer with a 2.4 GHz processor or higher

  • 8 GB of RAM or higher

  • Windows 10 or newer, or Mac OS X 10.10 or newer

  • HD 720p webcam

  • Headset with a microphone
